1. About these terms
These terms describe use of my Roster Reach, the invitation-only recruiting workspace available at myRosterReach.com. The service helps athletes organize recruiting information and prepare individually reviewed outreach. Questions should be sent to thomas.emmons.01@gmail.com.
By activating or using an account, you agree to use the service under these terms. Read the privacy policy for information about data handling. If you cannot agree, do not activate the account and contact the administrator about closing the invitation.
2. Eligibility and account access
Accounts are created by an administrator; there is no public self-registration. Athletes must be at least 13. If you are under 18, review these terms with a parent or guardian and obtain any permission required in your circumstances. Do not share your account or use someone else’s mailbox without authorization.
Provide accurate account and recruiting information. Keep your password secure, maintain access to your login email, and report suspected compromise promptly. Sport access and sending allowances are approved separately for each athlete–sport enrollment. An invitation or approved sport does not verify your athletic achievements or eligibility for a college program.
3. Responsible recruiting outreach
You are responsible for choosing the recipient, reviewing every message and attachment or link, and explicitly authorizing each individual send or approving the messages and recipients in a scheduled batch. Only contact appropriate recruiting or program contacts for legitimate purposes. Do not send spam, harassment, threats, deceptive claims, unlawful material, or messages that disregard a recipient’s request not to be contacted.
The application normally permits one email to a coach per athlete unless an administrator grants further contact. Weekly or monthly allowances apply separately to each approved sport. Do not use duplicate records, alternate mailboxes, different sports, or misleading information to evade these restrictions. An administrator’s exception does not override a recipient’s wishes, provider rules, or legal requirements.
Check college and athletic-association requirements through appropriate official sources. my Roster Reach is not an authority on eligibility or recruiting rules and does not authorize conduct prohibited by those rules. No automatic email sequence or unattended follow-up is provided.
4. Connected email and third-party services
You can authorize a supported Gmail or Microsoft account for sending. Keep the account in good standing and follow the provider’s terms. Provider approvals, account policies, quotas, outages, and changes may affect whether a connection or send works.
The current service sends messages you review and records submission results. It does not read incoming replies through connected-mailbox permissions. Separately, optional Coach Inbox can analyze emails you deliberately forward after accepting its processing notice. A submitted status does not guarantee delivery, inbox placement, a response, or a recruiting outcome. Do not repeatedly retry an uncertain send; contact the administrator so a potentially accepted message is not duplicated.
You may disconnect your mailbox and revoke access with the provider. Doing so does not recall previously sent email or erase message history. External websites and linked media are governed by their own terms and privacy practices.
5. Your content and permissions
You retain any rights you hold in the profile information, photos, videos, templates, and other content you provide. You give my Roster Reach the limited permission needed to host, process, format, display in your authorized workspace, and deliver that content to recipients you select, as described in the privacy policy.
Only upload or share content you own or have permission to use, including permission relating to other people shown in media where required. Do not upload confidential client records, government identification, health records, account secrets, or other sensitive documents that are unnecessary for recruiting. You are responsible for the accuracy of athletic, academic, and other claims in your messages.
The administrator-managed contact directory is provided for permitted recruiting use within the service. Do not scrape, resell, republish, or export it for unrelated uses without authorization and any required rights. Report incorrect contacts rather than assuming every imported record is current.
6. AI suggestions are assistance, not authority
AI assistance is optional. Its suggestions can be incomplete, inaccurate, outdated, or inappropriate. Check the sources, select only genuine reasons for your interest, and edit the wording so it reflects your actual experience and intentions. Do not claim a visit, conversation, achievement, or relationship that did not happen.
You remain responsible for the message. AI output is not a promise about admissions, scholarships, roster availability, eligibility, or a coach’s interests. Choosing not to use AI does not prevent manual drafting.
Coach Inbox review. Forward only recruiting messages you are authorized to share. You must review extracted requests, dates, time zones, and suggested wording before using them. Creating a task or calendar entry does not book an appointment, register for an event, send a document, or accept an invitation. Coach Inbox draft responses are not automatically sent. Original sender details in forwarded text are not independently verified. Keep your original emails and confirm important commitments directly with the relevant coach.
7. Administration, availability, and changes
Administrators may approve or pause sport access, change future allowances, maintain datasets, resolve errors, and restrict or suspend activity to address misuse, security, inaccurate information, or operational needs. We may change or discontinue features, subject to any applicable rights and notices.
We aim to provide a useful service but do not promise uninterrupted availability, error-free information, or preservation of every record without interruption. Keep your own copies of important recruiting information. Do not attack the service, bypass access controls, interfere with other accounts, or misuse credentials.
No payment or subscription is required by these terms for the current invitation-only release. Any future paid offering must disclose its pricing and applicable conditions before you accept it.
8. No recruiting guarantees or endorsement
my Roster Reach is not a college, recruiting authority, admissions office, scholarship provider, or representative of any listed coach. Listings and external links do not imply partnership, endorsement, or agreement to receive messages.
The service supports preparation and organization; it does not guarantee contact accuracy, delivery, coach attention, admission, a roster position, a visit, financial aid, or a scholarship. Decisions remain with you and the relevant institutions and contacts.
Nothing in these terms excludes protections or remedies that cannot lawfully be excluded. These terms do not require arbitration, impose a specific court location, or create a blanket waiver of rights.
9. Closing an account and updated terms
To stop using the service, disconnect connected accounts and contact thomas.emmons.01@gmail.com to request closure. Data handling after closure is described in the retention and deletion section. Account suspension, archiving, and disconnection do not automatically delete all records.
We may revise these terms as the service changes, update the date, and give appropriate notice of material changes. Contact us with questions before continuing under revised terms you do not understand. Support: thomas.emmons.01@gmail.com.
Batch Outreach authorization. Batch access is granted individually by an administrator. Preparing a batch does not authorize sending; approving it authorizes the selected, separately addressed messages to be submitted during the athlete's selected days and time windows, subject to application limits and provider availability. Batch messages must not contain school- or program-specific personalization. Pending outreach may be paused or cancelled, but in-flight or submitted emails cannot be recalled through this feature. Scheduling estimates do not guarantee exact send times, delivery, or a response.
